This privacy policy explains which data we collect, why, how long we retain it and what your rights are.

This policy applies to all data you share with us via our website zenithdent.be or through direct contact.

Appointments can be made through our online booking system (CLICKDOC, an external provider of appointment software). The data entered in that system, such as name, contact details and reason for the visit, is processed to schedule and manage the appointment.

Through the contact form on our website, we ask for the following personal data:

• First and last name
• Email address
• Phone number (optional)
• Your message and any additional information you choose to provide

2. Why do we process your data?

• To schedule, confirm and manage your appointment
• To reply to your message sent through the contact form
• To maintain your patient file in accordance with legal obligations for healthcare providers
• To comply with our legal obligations as a dental practice

The legal basis for processing is your explicit consent (art. 6.1.a GDPR) and, for medical data, the necessity for the provision of healthcare (art. 9.2.h GDPR).

3. How long do we retain your data?

• Patient files: minimum 30 years in accordance with Belgian patient rights legislation
• Appointment data without a treatment relationship: maximum 1 year
• Messages sent through the contact form: maximum 1 year

4. Is your data shared?

We never sell your data to third parties. Your data is only shared in the following cases:

• With other healthcare providers, only with your explicit consent and within the context of your treatment
• With processors providing technical services (e.g. the online booking system CLICKDOC and email processing), bound by strict data processing agreements
• When required to do so by law

5. Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse. Sensitive data, such as health data, is treated confidentially and only accessible to authorised medical personnel.
